Registration
The registration fee includes all talks and poster presentations, all meals and coffee breaks and a 6-day-ticket for the bus to reach the venue from the congress hotels. In addition, the gala dinner, a city tour and a concert in Aachen’s famous cathedral are included. However, tickets for the latter are limited and available on first-come-first-serve basis.
Unfortunately not. If eligible, you can always apply for our travel awards or for other travel grants. Please consider that the registration fee will cover everything, including meals, coffee breaks, the gala dinner, city tour etc.
YES! Please write “private” when you are asked for your affiliation during registration.
Sure, you can. There is the option to register accompanying persons for a discounted fee, which will, however, only include the social program (conference dinner, city tour, concert in cathedral) and the bus ticket.
Please send a certificate of enrollment from the university or picture of your student card. If you have neither of them, a letter from the advisor works but may lead to questions.
In most recent cases, the payment was declined by the card holder’s bank. You will need to inform your bank that you will use your credit card for payment to the German “Sparkasse”. If you have already contacted your bank and the issue remains, please contact our official partner of the registration and hotel booking at info@aachen-convention.de. An alternative to paying with credit card is that you send the registration fee by wire transfer – please make sure that there are no charges for the recipient. You can contact info@aachen-convention.de for details as well.
Cancellation
YES! In case that we cannot run the conference, the registration fee will be completely refunded. For the cancellation policies of the hotels please refer to the section “Hotel Booking” that can be found below.
We recommend that you check all travel restrictions from your country and for traveling to Germany before you register. We will not completely refund the registration fee in those cases. Depending on the time of your cancellation, the regular cancelation fees will apply (see below). We recommend a travel cancellation insurance for the case that you cannot travel due to illness.
Cancellation fees:
- Cancellation before May 15, 2022 10% cancellation costs
- Cancellation from May 15 - 27, 2022 30% cancellation costs
- Cancellation from May 28, 2022 100% cancellation costs.
You can always cancel your registration. However, regular cancelation fees will be applied. There is no extra policy for registrants that applied for travel grants.
COVID
Currently, there is a number of test stations all over the city, including close to venue, hotels, and train stations. The situation may however change. We can provide current information on request. Furthermore, there are stations on all airports for performing corona tests for your return journey.
ICTEM2022 is primarily planned as an on-site meeting. However, we will be happy to live stream your pre-recorded talk in the lecture hall or play your pre-recorded talk, if you cannot attend in person. Online poster presentation will be organized via slack.
Travel Awards
YES. You can still apply for the travel grant if you graduated more than six years ago. However, those applicants that fulfill all criteria will be chosen with preference
Social Program
YES! There will be a gala dinner, a city tour through the city of Aachen and its surroundings and a concert in Aachen’s famous cathedral. All events are included in the registration fee for participants and registered accompanying persons. However, tickets are available on first-come-first-serve basis.
Scientific Program
YES, we offer registration for online participation only. There will be a live ZOOM streaming of ALL sessions (permission by the speakers provided). By purchasing the ticket, the purchaser agrees to the use of images, video and audio material created during the convention for other purposes, unless this has been explicitly contradicted in writing in advance. Online poster sessions will be held via the platform “Slack” (instructions will be found timely on the ICTEM conference page). All posters (on-site and online-only) will be visible there. However, we ask the poster presenters to provide ways of communication (e.g. their own zoom or other platform, or via Email) by themselves. It is not possible to present a poster or give a talk without at least an online registration.
YES, we accept this kind of studies as basis for talks and posters.
Hotel booking
YES, a limited number of family rooms are available. Please write to iwesselsukaachende for details.
You may do that but you will not get the special price that you will receive when you book via the ICTEM conference page. Moreover, you will most importantly not receive your conference bag during check-in at the hotel.
To check the cancellation policies of the hotels, please enter the dates of your stay at our booking website and the list of hotels appears. Now you can find the cancellation policy for each hotel by clicking on “Details and book”.
A brief summary:
- B&B Hotel: free until 14 days before the stay
- IBIS: free until 6 pm on the day of arrival
- Mercure Hotel: free until 2 days before arrival
- Novotel: free until 2 days before arrival
- INNSIDE: free until 14 days before arrival
- MotelOne: free until 6 pm on the day of arrival
Venue
The venue can be easily reached via bus from all of the conference hotels. Details on the bus stops and routes can be found in the ICTEM homepage as well as in the abstract book. You can also reach the venue by car and use any of the signposted parking areas (fee applies). Information on navigation are provided on the ICTEM homepage and in the abstract book, as well.
